Davton EnterpriseSync
OverviewDavton EnterpriseSync is a centrally managed synchronisation tool for users of Microsoft Outlook with Microsoft Exchange. It is designed to make a local copy of a Shared (Public) Contact Folder, so that the contacts are available easily in the users mailbox, and can be synchronised with the users PDA, Blackberry etc. EnterpriseSync runs as a service on Exchange Server (or another Computer on the Network) and does not require any installation on the user’s PC. One-Way SynchronisationEnterpriseSync carries out a One-Way synchronisation (from Shared to Personal) folders. This means that changes made to the contacts in the local folder are not replicated back to the central folder. This keeps the usage simple, and protects the central folder from erroneous changes. Centrally ManagedEnterpriseSync is configured and managed centrally, which makes for easy set-up, administration and on-going management. The EnterpriseSync Configuration tool enables users to be quickly set up and enabled. Configuration takes place from a central Exchange Account with administrative permissions on the Exchange Store. Individual users can be added with a couple of mouse clicks, or a batch of users can be added automatically. Reports are provided for each mailbox after each synchronisation, so it is straight forward to check that everything is running smoothly. One Central ProcessThe synchronisation process runs automatically as a low priority process. It logs onto Exchange via MAPI (the same method Outlook uses) and synchronises a users personal contact folder with a central Public folder. Once the additional contacts have been added to the users personal folder by EnterpriseSync, the changes are immediately reflected in the users mailbox. This means the user will see the new contacts straight away via Outlook. If there is an existing process set up to synchronise a users contacts with their PDA or Blackberry, then the new contacts will be replicated here as well. The process runs regularly, and will update the local contact folder with any changes it finds in the Shared Contact folder. Filter Shared Contacts on Categories
Davton EnterpriseSync can filter the Shared Contacts by Category so that
only a subset of the contacts are copied to the local folder. This is
useful where there are a large number of central contacts, and the user
only wants relevant contacts copied to her local folder – for example on
Contacts with Category ‘Northern Region’. How it works
Davton EnterpriseSync runs as a service. At regular intervals (say every 3 hours) it will run its Sync' Routine. This will cycle through a number of folder pairs - carrying out a one-way synchronisation - from one (usually central) contact folder to another folder - usually a users default contact folder in their mailbox. The user does not need to be logged on - all the work is carried out on the Exchange server itself. What it SynchronisesDavton Contact Synchroniser will not touch any existing contacts in a personal folder. When it copies contacts across from the public folder, it adds some extra information so that it can keep track of where the contact has come from. In fact it adds a note to the little used field 'Government ID Number' to say where the contact has been copied from. When it checks to see if the contacts are still up to date, and meeting the filter criteria, it will ignore any contacts that don't have the right information in the 'Government ID Number' field. If an update is made to a contact in the public folder, the next SyncRun will delete the (now out of date) copy of the contact in the local folder, and add a new updated copy. If a change is made to a contact in the local folder or on the PDA linked to the local folder it WILL NOT update the public folder. The changes in the personal folder will be over written the next time a change is made to the contact in the public folders. The public folder is used as a 'Master' contact folder - and any changes or updates should be made there. ConfigurationThe Configuration Information for each Mailbox is stored in an exchange Public Folder. A separate public folder is used to report the results of each SyncRun for each Mailbox. LicensingDavton EnterpriseSync is licensed by the number of mailboxes which are to be Synchronised - and is licensed to a specific Exchange Server. InstallationBecause of the nature of the installation, a Davton Consultant will work with you to discuss and plan the installation.
