DavSync is a two-way synchronisation tool for users of MS Outlook with Microsoft Exchange. It is designed to transfer Outlook entries between Local and Shared (Public) Contact, Calendar or Task Folders, so that the contents are available easily in the user’s mailbox, and can be synchronised with the user’s PDA, Blackberry etc. Any additions, changes or deletions made to the user’s local folders can be passed to the Public folders so that other members of staff can be similarly updated.

 Also, where permitted, details can be shared directly between other users, subject to the other user’s folder security permissions being set to allow this. Details for each folder pairing are stored in a configuration record, and you can have multiple “Configs” for different combinations of folders, depending on your licence details.

DavSync - Personal installs locally on the user's PC and synchronises folders for one user.

DavSync - Enterprise is installed centrally on a server and can synchronise multiple user's folders.

How it works

DavSync will synchronise multiple pairs of folders - up to 5 pairs per user. Filters or other options can be set for each folder pair so that for example on contacts with a particular category are synchronised.It is also possible to choose not to synchronise past appointments, or completed tasks.

Regular Automated Synchronisation

DavSync will automatically run a regular synchronisation check at an interval which you specify -say every 15 minutes. As long as the PC or server is connected to a network which can contact the Exchange Server, DavSync will carry out a background synchronisation at regular intervals. It even works if Outlook is not open – next time teh user logs in to Outlook, the updates will be waiting.

Duplicate Check

The first time the software runs, it checks to see which items might be the same - and pairs them up. So for example if a contact in one folder has the same First Name, Last Name and Company Name as the contact in the other folder, it assumes they are the same contact, and will not create a duplicate. It uses a similar check for Appointments (Subject, Start Time, End Time) and Tasks (Subject, Due Date, Owner).

SyncDeletions Folder

When using a one - way synchronisation, one folder is the master folder so any changes made there are deemed to be correct. With two-way synchronisation, changes can potentially be made to an item by many more people, so there is an extra safety option - a SyncDeletions folder. Any item that gets over-written by an updated item (effectively the old item is deleted) is moved to a SyncDeletions folder. So if an important phone number is changed, or a note is overwritten, there will be a saved copy of the original in a subfolder called SyncDeletions.

Setting up the system

The user configures up to five pairs of folders for synchronisation, setting any optional values for each folder pair.

 

Running DavSync - Personal

Once the system has been set up, DavSync puts a small icon in your computer's system tray (see the green icon with the two arrows shown below). The icon will flash when it is synchronising. If you right-click the icon in the system tray, there is a menu of options available. These include stopping and starting the Timer (the icon will change from Green to Red if stopped to show that the Sync will not run), retrieving statistics about the last synchronisation, finding out when the next synchronisation is due, and forcing the system to synchronise now!

Running DavSync - Enterprise

DavSync - Enterprise is installed as a System Service, so it runs permanently and silently on the server.
